Role:                   Sales & Communications Coordinator
Reporting to:        Director of Communications (DOC) and Global Director of Sales (GDOS)
 
Scope and Purpose of Role
 
Based at Dorchester Collection’s Corporate Office in London, this role is to provide administrative support to both the Communications and Sales departments in their daily activities.  The role is split 50% Communications and 50% Sales.
 
Core Responsibilities 
Sales:
* Coordination of postal mailings
* Delphi database management, to help as required
* Complete registrations, raise purchase orders (POs) and ensure each Dorchester Collection hotel participant has their appointment schedule and entry badge for tradeshows such as ILTM – liaise with hotel to book accommodation for Dorchester Collection attendees
* Assist in the coordination of Dorchester Collection events
* To help prepare presentations for GDOS
*Attend gift exhibitions, meet potential suppliers, present a selection of possible gifts at different price points, raise POs, keep count of stock and  ensure regular supply of gifts for both sales and PR activities
* Follow up with each Regional Sales Office (RSO) to ensure sales reports are received on time and file on the Z drive; advise the GDOS when they are finished each month
* Keep a log of all holiday, vacation, lieu days and sick leave taken by RSOs 
* Copy and check international RSO expenses against receipts, ready for GDOS approval
* Compile various reports for the RSOs including market share reports from Hotelligence and production reports from Opera/vision
 
Communications:
* Support social media efforts
* Keep a running list of contents for internal magazine, Stars,and assist in collecting materials from the hotels
* Liaise with the marketing and graphics department on design, print and photo requests such as press invites, etc
* Fact check content for Stars, in-room magazine, Collect, and any other relevant materials along with the DOC and communications manager (CM)
* Organise and keep track of the barter with Assouline Media (Collect) and liaise with the individual hotels on accommodation requests
* Enforce the brand standards with the communications agencies and hotel DOCs
* Fulfil the accommodation requests for the judges of the Dorchester Collection Fashion Prize, assist with the application process, liaise with   banqueting department, set designer, sponsors, etc.
* Input figures from relevant invoices into the Dorchester Collection Fashion Prize budget
* Ensure that the content in the media centre on the Dorchester Collection website and the communications and corporate responsibility sections of the company intranet, The Lounge, is up to date; supply information for The Lounge on competitor news
* Be present at Dorchester Collection PR-related filming and photographic requests when required
* Print key press cuttings for circulation at Dorchester Collection on a regular and timely basis for the owners and internal purposes
* Compile the fortnightly Monday email to all DOCs with the latest news activities
* Keep the media and partner databases updated
